Who we are
Stockflow is operated by Flutterfrog Software Solutions, Nagercoil, Tamil Nadu, India (“Stockflow”, “we”, “us”). This policy explains what personal data we handle, why, and what rights you have. Questions go to support@stockflow.co.in.
Two different roles
We handle personal data in two distinct capacities, and your rights differ depending on which applies:
- As the party deciding the purpose — for people who contact us, request a demo, join our network or subscribe to our updates. We decide why that data is used.
- As a processor for our customers — for the business data inside a distributor’s account (their customers, suppliers, employees and transactions). The distributor decides why that data is used; we process it on their instructions under our agreement with them.
What we collect
When you contact us: name, business name, phone number, email address, and anything you choose to tell us about your requirement. You give this to us directly.
When you use our apps: your phone number for sign-in, your name and role, and a record of actions taken in the app for security and support purposes.
Inside a customer’s account: the business records that customer enters — invoices, stock, ledgers, employee attendance and payroll. This may include personal data about their staff and their retail customers. It belongs to them, not to us.
Technical data: basic device and log information needed to operate and secure the service.
Data collected through the connector
Where a distributor installs our connector to share sales data with a brand, the following limits apply and are written into our agreement with that distributor:
- We extract stock and sales data only for that brand’s own products. Data relating to the distributor’s other suppliers is not transmitted.
- Extraction and filtering happen on the distributor’s own computer, before any transmission.
- The purpose is limited to verifying trade scheme claims and reporting aggregate distribution coverage.
- Retailer identity is not transmitted unless the distributor gives explicit, separate consent. Where retailer-level reporting is provided without that consent, outlets are counted using irreversible pseudonymous identifiers so that individual retailers cannot be identified.
Why we use it
- To respond to your enquiry and provide a demonstration.
- To provide, support, secure and improve the service.
- To meet legal, tax and accounting obligations.
- To send you service messages. Marketing messages are sent only where you have consented, and you can withdraw that consent at any time.
Who we share it with
We do not sell personal data. We share it only with: service providers who host or support the platform and are bound to protect it; a brand, strictly within the limits described above and only where the distributor has agreed; and authorities where the law requires it.
Where it is stored
Data is stored on Google Cloud Platform and Firebase infrastructure. Some processing may take place outside India; where it does, we require appropriate safeguards.
How long we keep it
Enquiry data is kept while we are in contact with you and for a reasonable period afterwards. Customer account data is kept for the life of the agreement and any retention period required by law, then deleted or returned.
Your rights
Subject to the Digital Personal Data Protection Act, 2023, you may ask us to confirm what data we hold about you, correct it, erase it, or withdraw consent you have given. You may also nominate someone to exercise these rights on your behalf. Write to support@stockflow.co.in and we will respond within a reasonable period.
If the data sits inside a distributor’s account, we will direct your request to that distributor, who decides how it is used.
Security
We use access controls, encryption in transit and tenant separation to protect data, and we review these measures as the platform develops. No system is perfectly secure; if a breach affects you, we will notify you and the relevant authority as the law requires.
Children
The service is for businesses and is not directed at children.
Changes
We will update this page when our practices change and revise the date above. Material changes will be notified to customers directly.
